Laundry and uniform rental
Laundry and uniform rental invoices are built from many small items: garments, linens, mats, towels, delivery fees and replacement charges. Because each line is small, errors are easy to miss.
A partner firm can check the invoices against your contract and show you where the two differ.
Fairview Audit connects you with a partner firm. Fairview does not review invoices itself.
What a laundry and uniform rental review looks at
A review compares what the provider bills with what the agreement says. It also looks at how clearly the spending is itemized.
Typical areas include:
- Rates for each garment, linen or mat type, and whether they match the contract.
- Charges for lost, damaged or worn items, and how those were counted.
- Delivery fees, fuel charges and other surcharges.
- Inventory levels, meaning how many items you rent compared with how many you use.
- Minimum billing terms and what triggers them.
- Contract clauses on price increases, renewal and termination.
- Whether the provider delivers the service levels the agreement describes.
Rental programs cover many types of goods. Industry sources list uniforms, table linens, aprons, towels, mats and facility products, serving food and beverage, healthcare, hospitality and industrial customers. A review adjusts to whichever you rent. Loss and wear are normal costs in linen programs, and industry guidance counts loss from unreturned pieces, so the way replacements are counted matters.
What you provide
The partner firm will confirm its list. Expect to share:
- Recent invoices from each laundry or rental provider.
- The rental agreement, with amendments and renewal notices.
- A current list of items on rental, with counts if you have them.
- Records of lost or damaged item charges and any disputes.
- Delivery schedules and service logs.
- Correspondence about price changes.
- Contact details for the person who receives deliveries and the person who approves invoices.
A physical count of items on your premises is often useful. Ask your partner firm whether it wants one.
What happens after you submit a request
- You choose a request path and submit the form.
- The request goes to a matched partner firm, or to Fairview for manual matching.
- A partner firm contacts you to talk through your program and its terms.
- You share invoices and the agreement.
- The partner firm reports its findings.
- You and the firm decide how to raise corrections with the provider.
You stay involved. The engagement and any fees are between you and the partner firm. [CONFIRM: a partner firm supplies and approves whether it works remotely and whether you can keep your current provider]
Who this suits
This category suits a business that:
- Rents uniforms, linens, towels or mats on a recurring basis.
- Has seen invoices rise with no change in staff or volume.
- Has never counted rented items against billed items.
- Is approaching a renewal.
Hotels and restaurants are heavy users. See Laundry and uniform rental for hospitality and restaurants.
Which partner firm fits can depend on your size.
How Fairview matches you
Choose from three request paths: larger business, smaller business, or not sure or another need. Each has its own form: larger business, smaller business or other needs. Fairview sends the request to a matched partner firm, or matches it by hand on the other path. After that, you work with the firm directly. See how it works.
An independent partner firm that specializes in laundry and uniform rental handles this work. Fairview Audit makes the match. We do not perform the review ourselves.Who does the work
Frequently asked questions
Do I have to change providers?
A review does not require it. What a firm does beyond reviewing is for that firm to say. [CONFIRM: a partner firm supplies and approves this statement]
Will deliveries be affected?
No. The review works from documents and your own item counts.
Does this cover medical or healthcare linens?
Ask the partner firm. Coverage differs between firms.
Who sets the fee?
The partner firm sets it under its own terms. Fairview does not.
