Downloads

Downloads will hold checklists and short documents that help you prepare for a cost review. No files are posted yet. This page explains what is planned so you know what to expect.

Fairview Audit connects businesses with partner firms. The firms perform the reviews and decide what they need from you. Our checklists are general. Your partner firm's own list takes priority.

What the downloads will be

Each download is a PDF you can print or save. Every PDF is short and has the same layout: a title, a list of items to gather and space for notes.

Each checklist will be written by Fairview in plain language and checked against the documents that partner firms commonly ask for. We do not publish a checklist as a firm's own requirement unless the firm has approved it. [CONFIRM: a partner firm supplies and approves this statement]

Checklists planned by category

The first set of checklists follows the cost categories on our services page. Each one lists what to have ready for that kind of review.

  • Leases: the lease and any amendments, schedules or letters of understanding, estoppel certificates where they apply, and a payment history.
  • Supplier contracts: the contract and its changes, vendor correspondence about extra charges, and a payment history for each vendor.
  • Accounts payable: payment records, invoices selected for testing and any issues you have already spotted.
  • Tax reviews: the returns, schedules and supporting records for the period in question. [VERIFY: which records apply to each tax type]
  • Recurring bills: recent invoices for telecom, freight, utilities and similar services, plus the contract or rate schedule behind them.

What every checklist asks for

Most reviews start from the same few items.

  • The contract, with all amendments, schedules and letters of understanding.
  • A detailed payment history for each vendor.
  • Invoices, with supporting data.
  • A list of issues your team has already noticed.
  • Contact details for your team and for the vendor or landlord.

You stay involved while the partner firm gathers data and presents findings, so it helps to name one person on your side who knows where documents are kept.

What downloads will not do

A checklist is not a promise that a review will find anything. It does not replace the advice of a partner firm, an accountant or a lawyer. It will not state tax rules or accounting standards beyond a general principle.

If a checklist mentions a rule, the rule will be tagged for checking until a qualified person confirms it. Treat any such item as a prompt to ask your partner firm, not as a conclusion.

Updates and new files

Checklists will be added as categories go live and as partner firms join the network. A category with no partner yet will not get a checklist until a firm can say what it needs. Each PDF will carry a date so you can tell which version you hold. [CONFIRM: who reviews and approves each checklist before posting]

How to use a checklist

Download the checklist for your category and tick off what you already hold. Mark what is missing and note who might have it. Finance, procurement, facilities and legal teams often each hold part of the file.

Do not send documents to Fairview unless a form asks for them. You share documents with your partner firm after it contacts you.

Suggestions welcome

If there is a document you wish you had before your last review, tell us through the contact page. We cannot promise to publish every request, but the list of planned checklists will follow what businesses and partner firms say they need.
