Laundry and uniform rental for hospitality and restaurants

Linen, napkins, aprons, chef coats and towels are a steady cost for restaurants and hotels. Most are rented, not owned, and billed by the piece or the pickup. A partner firm can compare those invoices with your contract.

Fairview Audit connects hospitality businesses with partner firms. Fairview does not perform the review itself.

Why this category matters in hospitality

Rental programs in hospitality depend on par levels. A par is the stock level kept in circulation for your site. If your par is set above what you use, you may pay for stock that sits on a shelf. If it is set too low, shortages can disrupt service.

Usage also swings. A hotel with a conference weekend or a restaurant with a private event uses far more linen than on a slow midweek night. A contract written for peak demand can leave you overpaying in the off season.

Items go missing. Napkins leave with guests, towels are taken from rooms and aprons are thrown out by mistake. Some contracts charge a replacement fee for items not returned. The charge may rest on counts that nobody on your side checked.

What a review typically examines

A partner firm reads the agreement and the delivery records together. For a restaurant or hotel it may look at:

  • Whether billed quantities match delivery and pickup tickets, signed by your staff.
  • Whether par levels in the contract match what is delivered.
  • Lost or damaged item charges, and the count or evidence behind them.
  • Fees for soiled items, stains or items mixed in with the wrong stream, such as kitchen towels with grease.
  • Fuel, route, environmental and garment protection charges, and whether the agreement permits them.
  • Price increases during the term, and whether the contract allows them.
  • Minimum weekly charges and what happens to them in a closed week.
  • Early termination clauses, renewal terms and notice periods.
  • Whether employee uniforms for departed staff are still being billed.

Hotels may also have in-house laundry for some items and rental for others. A review can look at how the two are split.

Warning: Many rental contracts renew automatically and require written notice before the end of the term. Check your notice date before you plan any change. [CONFIRM: a partner firm supplies and approves any statement about contract exit terms]

What to have ready

  • The rental agreement, any renewal letters and price notices.
  • Recent invoices for each location.
  • Delivery and pickup tickets with counts.
  • Your current par list by item.
  • Records of lost or damaged items and any disputes.
  • A current list of staff who wear rented uniforms.
  • Contact details for the person who signs for deliveries and the supplier's route contact.

How matching works

Choose the entry path that fits: larger business, smaller business or not sure or another need. There is no fixed size cut-off between the two types of firm. Your request goes to the matched partner firm, or to Fairview for manual matching. You then deal with the firm directly, and any fees are between you and the firm.

The firm contacts you, you share documents and the firm reports what it finds. See how it works for the general steps.

Who does the work

An independent partner firm that specializes in laundry and uniform rental handles this work. Fairview Audit makes the match. We do not perform the review ourselves.

FAQ

Do I have to stop renting uniforms?

No. A review checks the billing you already receive. Whether to keep your supplier is your decision.

Does this apply if some laundry is done in-house?

Yes. The partner firm can focus on the rented portion and note how it relates to your in-house work.

What if nobody counted items at delivery?

The partner firm can still compare invoices with the contract. Missing counts are noted, and you can start signing tickets more carefully going forward.
